Complete a Prime Contract with DocuSign®

Objective

To complete the signature process for a prime contract with the DocuSign® integration.

Background

If you have a DocuSign® account, you can connect your Procore prime contract to DocuSign® tool to manage the signature process. This lets you and your prime contract's signatories receive, review and return contract signatures online—at any time and from any Internet-enabled device. 

Things to Consider

  • Required User Permissions:
    • To initiate the DocuSign® signature process, 'Admin' level permissions on the project's Prime Contracts tool. 
       Note
      To sign a Procore prime contract with DocuSign®, you do NOT require access permission to Procore's Prime Contracts tool. A PDF copy of the prime contract is available in DocuSign® for review.

Steps

Complete a Prime Contract with DocuSign®

  1. Navigate to the project's Prime Contracts tool.
  2. Choose from the options:
    • Click Create Prime Contract. Then complete the steps in Create Prime Contracts.
      OR
    • Locate the contract to sign in the Prime Contracts list. Then click its Number link.
  3. Under General Information, place a checkmark in the Sign with DocuSign® box.

  4. When the prime contract is ready for the signature process, click Complete with DocuSign®.

    This launches DocuSign©

Sign into DocuSign

  • At the DocuSign® login page, enter the email address for your DocuSign® account.
     Tip
    If you don't have a DocuSign® account to complete the sign-in process,  see How do I get a DocuSign® account?

  • Click Continue.
  • Enter your password.
  • Click Log In
    The prime contract and any attachments appear in the 'Add Documents to the Envelope' section.  
  • Optional: If you want to upload additional documents, you have these options:
    • Upload
    • Use a Template
    • Get From Cloud
       Important
      If you upload additional documents to DocuSign®, those documents are only added to DocuSign®. They are NOT added to Procore. 
  • In the 'Add Recipients to the Envelope' section, the 'Architect/Engineer' and 'Owner/Client' designated in the contract are automatically added to the envelope as recipients. 
     Note
    If your project has implemented a custom form for your project's Prime Contracts tool or if you want to add more recipients to the envelope, you can add them using the options in DocuSign®. Keep in mind that these recipients are NOT added to Procore, they are only added to DocuSign®.

  • Click Next.
  • Review the signing fields in the DocuSign® envelope. By default, Procore adds these fields for each recipient named in the Procore version of the prime contract:
    • Signature
    • Date Signed

  • Click the Send button at the top or bottom of the DocuSign® page.

    Procore sends the prime contract to the named recipients to collect their signatures. Recipients do NOT require a DocuSign® account. See Do I need a DocuSign© account? However, they do need to agree to the terms of the DocuSign® Electronic Record and Signature Disclosure. After a recipient signs the contract, a copy of the signed contract is sent to all signers.
    Example

    When all of the signatures are completed, the following banner appears across the top of the prime contract. You have these options:

    • View. This lets you view the contract. Click the Export link to download the contract to your web browser's Download location on your computer. 
    • Edit. This lets you edit the contract. Log back into your DocuSign® account to modify the envelope in DocuSign®. 
    • Withdraw. Click OK at the confirmation message to delete the signed contract from DocuSign®.
