Send Deficiency List Items

Objective

To email deficiency list items that are ready to be sent.

Things to Consider

  • Required User Permissions
    • 'Admin' permissions on the project's Deficiency List tool.
      Note: 'Read Only' level users cannot be assigned to a deficiency list list item.
    • 'Standard' permissions on the project's Deficiency List tool for users who are listed as Default Deficiency Item Managers in the Deficiency List configuration settings, see Configure Advance Settings: Deficiency List
  • Additional Information:
    • The deficiency list item must have already been created and saved before it can be sent.
    • You can choose to either have all deficiency list items emailed simultaneously to all assignees listed on each item or you can choose to email individual deficiency list list items separately from one another.
    • Once an initial notification has been sent, selected Assignees will receive daily notifications of overdue items via email; email notifications will end after 45 days. 

Steps

Send all Deficiency List Items

To send all pending deficiency list items, follow the steps below:

  1. Navigate to your project's Deficiency List tool. ​​​​​
  2. Choose from the following options in the orange banner:
    • Click Send All to send all pending deficiency list items. 
    • Click Send Mine to send only the deficiency list items you've created.
      Note: The Send All and Send Mine banners only show on the Deficiency List tool if the deficiency list item has an assignee. Additionally, the Send Mine button will only appear if there are deficiency list items that you created that are ready to be sent.
  3. Once you click Send, the 'Date Notified' column on the list page will update to reflect the current date (i.e. the day you sent the email). This allows you to record and track the date of notification.

Email Individual Deficiency List Items

To forward deficiency list items to people in your directory who were not included in the item's original distribution, follow the steps below. 

  1. Navigate to your project's Deficiency List tool.
  2. Click Edit next to the item you want to email.
  3. Click the Email tab under the deficiency list item's title.
  4. Click New Email.
  5. Enter the relevant information into the email template. 
  6. Click Send.
    ​​​​​​Note: The individual included in the 'To' field will receive an email alerting them of the item and its details.
