Manage Your Inbox for Workforce Planning
Objective
To manage your Inbox for messages sent in Workforce Planning.
Background
You can send messages to people that you manage in Workforce Planning. You can also use the steps below to reply to messages, as well as to view, star (favorite), archive, and delete messages.
Things to Consider
- Required User Permissions:
- To view, favorite, archive, or delete messages, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.

'Read Only' level permissions or higher on the Workforce Planning tool. - To reply to messages using the Messages tool, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.
OR
'Read Only' level permissions or higher on the Workforce Planning tool with the 'Create Messages' granular permission within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning. - To receive messages via email, people must have the Enable Email checkbox selected, and an Email Address entered in their personal information on the People List. See Edit People in Workforce Planning.
- To receive messages via SMS, people must have the Enable SMS checkbox selected, and a Phone Number entered in their personal information on the People List. See Edit People in Workforce Planning.
- To view, favorite, archive, or delete messages, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.
- Additional Information:
- Messages sent in Workforce Planning do NOT appear in Emails in Procore.
- Deleted messages are permanently removed from Workforce Planning and cannot be recovered.
- Messages that are only visible to you have a Lock icon.
- People receiving messages via SMS cannot reply via SMS.
Note: Message and data rates may apply when receiving SMS messages. - People receiving messages via email can reply from their own email client. Emailed replies appear in your inbox.
Prerequisites
Steps
To a view message, follow these steps:
- Navigate to the Company level Workforce Planning tool.
- Click Communications and select Messages.
Note: The Messages tool opens to your Inbox. - Click the message to view.
You can see the message that was sent and any replies.
Star a Message
To star a message, follow these steps:
- Navigate to the Company level Workforce Planning tool.
- Click Communications and select Messages.
Note: By default, Messages opens to your Inbox. - Click the star icon for the message you want to favorite.
Notes:- Starred messages are not automatically removed from your Inbox.
- Starred messages can be seen in the Starred section of the Messages tool. See Manage Starred Messages for Workforce Planning.
Reply to a Message
To reply to a message from Workforce Planning, follow these steps:
- Navigate to the Company level Workforce Planning tool.
- Click Communications and select Messages.
Note: By default, the Messages tool opens to your Inbox. - Click the message to reply to.
- In the text box, enter your reply.
- Click Reply to send the message.
Notes:- If the original message had the checkbox marked 'All Users Can See This Message', your reply will also be visible to all users.
- Replies can be seen in your Inbox or the Sent section of the Messages tool. See Manage Sent Messages for Workforce Planning.
Archive a Message
To archive a message, follow these steps:
- Navigate to the Company level Workforce Planning tool.
- Click Communications and select Messages.
Note: By default, the Messages tool opens to your Inbox. - Click the message to archive.
- Click Archive.
Note: Archived messages are listed in the 'Archived' section of the Messages tool. See Manage Archived Messages for Workforce Planning.
Delete a Message
To delete a message, follow these steps:
- Navigate to the Company level Workforce Planning tool.
- Click Communications and select Messages.
Note: By default, the Messages tool opens to your Inbox. - Click the message to delete.
- Click Delete.
