Invite a Batch of Procore Users to Join a Company's Procore Account

Objective

To invite or re-invite a batch of users to join a company's Procore account.

Background

Users with the appropriate permissions on the Company level Directory can invite or re-invite a batch of users to join a company's Procore account.

Things to Consider

• Required User Permissions:
  • 'Read Only' or 'Standard' level permissions on the Company level Directory tool with the 'Create and Edit Users (Based on Assignable Permissions Templates)' granular permission enabled on your permissions template.
    OR
  • 'Admin' level permission on the Company level Directory tool.
• Prerequisite:
  • The invitee must first be added to the Company Directory. See Add a User Account to the Company Directory.
• Alternatives:
  • Users can also send invitations at the time the user's account is created. See Add a User Account to the Company Directory.
• Limitations:
  • When using the Bulk Actions to invite users, invitations are NOT sent immediately. There can be a slight time delay.
    Important! If you need the system to send an invite to a user immediately, follow the steps in Invite or Re-invite a User to Procore.
• Additional Information:

  • After an invite is sent, Procore sends an automated Welcome Email to the invitee's email address. If the invitee does not log into Procore, an automated follow-up message is sent at three (3), seven (7), and 14 days. After 14 days, the follow-up email is automatically discontinued.

Steps

1. Navigate to the Company level Directory tool.
2. Click Users.
   Notes:
   • An Invite button appears to the right of all user names that have NOT previously been sent an invite to join your Procore company.
   • An Re-Invite button appears to the right of all user names that have been previously invited to join your company, but did not respond to the invitation. 
3. Mark the checkbox next to each user's name you want to invite or re-invite.
4. Click Bulk Actions and select Invite.
5. In the 'Invite' window, review the list of users. Click the X next to a user's name to remove them from the list.
6. Click Invite.
   A GREEN banner displays to confirm that invitations will be sent.
   Note: Invitations are NOT sent immediately using Bulk Actions. There can be a time delay.
