Create and Link an RFI, Change Event or a Different Correspondence Item to an Existing Correspondence Item

Objective

To create and link an RFI, change event, or any other correspondence item to an existing correspondence item.

Background 

Correspondence items are often used as precursor business processes to an RFI, Change Event or a different Correspondence type. A common example of this is where an NOD (Notification of Delay) is approved and converted into an EOT (Extension of Time) to extend the project duration. The Create & Link action on correspondence items enables users to quickly create new items, carry over any essential information and attachments from the originating correspondence item and then link the items so users can easily reference the origin event as well as any other business processes linked to an individual correspondence item.

Things to Consider 

  • Required User Permission:
    • 'Standard' or 'Admin' level permission on the project's Correspondence tool.

Steps  

  1. Navigate to your project's Correspondence tool.
  2. In the Items view, locate the correspondence in the list.
  3. Open the correspondence by either clicking the Number or Subject link. 
  4. Click Create & Link and select the RFI, Change Event or a different Correspondence item option from the dropdown list.

  5. Under General Information, you can keep the pre-populated fields or add/edit as desired.
  6. If you created an RFI, choose one of these options:
    • If you do not want to issue the RFI (if you are NOT ready to send it out to recipients by email), click Create As Draft. This saves the RFI in the Draft status in the List view.
      OR
      If you want to issue the RFI to recipients by email, click Create As Open. This saves the RFI in the Open status in the List view.
    • If you created a Change Event, click Save. This saves the Change Event in the Open status in the List view.
    • If you created any other Correspondence type, choose one of these options:
      • If you do not want to issue the correspondence item (i.e., if you are NOT ready to send it out to recipients by email), click Save As Draft. This saves the correspondence item in the Draft status in the List view.
        OR
        If you want to issue the correspondence item to recipients by email, click Create & Issue. This saves the correspondence item in the Open status in the List view.
