Email Observations
Objective
To email observations from the Observations tool to those who need to be aware of the details of the observation.
Background
The email functionality on the Observations tool allows you to send the details of an observation to team members' email inbox. This might be helpful if team members would like a copy of the observation outside of Procore or if you'd like to begin a private discussion about the observation with a single person or group of people.
Things to Consider
- Required User Permissions:
- Standard' level permissions or higher on the project's Observations tool.
Steps
- Navigate to the project's Observations tool.
- Click View next to the observation to forward by email.
- Click the Email button.
- Start typing the recipient's name in the To field and select from the matching Procore users.
- Include any Procore users in the CC field.
Note
Procore automatically copies the observation's creator on the email message. - Optional: Choose the privacy settings for the message:
- Mark the Private checkbox. This limits who can see the message to the recipient(s) and the creator. Only these users can see the message in the observation's Email tab.
OR - Clear the Private checkbox. This allows all users with 'Admin' and 'Standard' level permissions to see the email in the observation's Email tab.

- Optional: Edit the subject line, if needed. Procore automatically populates this field with: FW: Observations: [observation #]: [title of observation]
- Attach any relevant files from your computer or from your files in Procore.
- Include a message for your email.
- Click Send.
Procore sends the email to the designated recipients. "Emails" sub tab of the observation.
