How can I use the '[OAC Management Inc.] Pre-Drywall Checklist' inspection template on my project?

Background

Procore has added a new inspection template called '[OAC Management Inc.] Pre-Drywall Checklist'. This inspection template has been automatically added to the Company level Inspections tool for all companies with the Inspections tool enabled. See the steps below for instructions on how to add this template to one or more of your project's Inspections tool.

We recommend that you use this checklist to help project teams consider critical items that will have project-specific requirements and standards.

Steps

Step 1: Optional. Edit the Inspection Template at the Company Level

If you want to make changes to the inspection template that will impact all projects the template is used on, we recommend editing the inspection template at the Company level before adding the template to your projects.

  1. Navigate to the Company level Inspections tool.
  2. Locate the template and click Edit.
  3. Choose from these editing options:
    • To modify a field, click on any of the editable fields and either type over the existing entry or select a different entry from the drop-down list. 
    • To change the Standard Response Phrasing, click the desired response set.
      Note: The response phrasing you select will apply to ALL items in this template, including items in previous inspections created from this template.

    • To add or edit an item's response type, in the Response Types dropdown menu, select one of the following options:
      • Default 
        • Standard: Users can respond to items by selecting Pass/Safe, Fail/At Risk or N/A.
        • Number: Users can respond to items in the form of any positive or negative number up to 15 characters.
        • Text:  Users can respond to items with free-form text. There is no character limit to text responses.
        • Date: Users can respond to items by adding an appropriate date.
      • Multiple Response
    • To delete a template item, click the 'x' to the right of the item heading.
    • To delete a template section, click the 'x' to the right of the section heading. Click Delete to confirm your decision to delete the section.
    • To add an item, click into the empty row beneath the section's last inspection item (see following image).
      Note: You can use a drag-and-drop operation to reorder items in an inspections section.
    • To add a Section, click + Add section to add a section to your inspection template. Enter a title for your section. When you are done, simply click out of the section. 
      Note: You can use a drag-and-drop operation to reorder items in an inspections section.
  4. Click Update to save your changes.

Step 2: Add the Inspection Template to a Project

The inspection template needs to be added to the Project level Inspections tool in order for it to be used on that project.

  1. Navigate to your project's Inspections tool.
  2. Click the Configure Settings  icons-settings-gear.png  icon.
    Note: For more information on configuring your advanced settings, see Configure Advanced Settings: Inspections.
  3. Click the Templates tab.
  4. Click Import Company Templates.
    Note: This button will be disabled if you have not first Created a Company Level Inspection Template.
  5. Mark the checkbox next to one or more company inspection templates to use on this project.
    Note: To narrow your options down, filter templates by Type or Trade by clicking the Add Filter drop-down. Only templates that you haven't added to your project will appear for you to select.
  6. Click Import Templates.
    Note: Project templates may be modified here throughout the duration of the project, but changes will only be reflected on project inspections that are created from the modified template.

Step 3: Optional. Edit the Inspection Template at the Project Level

If you want to make changes to the inspection template that will only impact one project the template is used on, we recommend editing the inspection template at the Project level after you have added it to your project.

  1. Navigate to the Project level Inspections tool.
  2. Click the Configure Settings icon.
  3. Click Templates.
  4. Click Edit next to the inspection template that you want to edit.
    Note: An icon-key-lock.png icon indicates a Company level Inspection template has been added to the project.

  5. Under 'General Information', edit the following fields:
    Note: If the template you are editing is a Company level Inspection template, certain fields cannot be edited in the Project level Inspections tool. These fields are indicated by an icon-key-lock.png icon.
    • Name icon-key-lock.png: Title your inspection. This will show up on your inspections log page and will help you differentiate between your inspections within your project. This is a required field.
    • Type icon-key-lock.png: Choose from the list of inspection types added to the company (e.g. Safety). (Note: If you have not added inspection types to your project, see Configure Advanced Settings: Company Level Inspections. You will need to have 'Admin' level permissions on the Company level Inspections tool.)
    • Trade icon-key-lock.png (Optional): Give your inspection a trade (e.g. Electrical, plumbing). (Note: Your company's trade list can be managed at your company level's Admin tab under 'Trade Configuration.) 
    • Company Description icon-key-lock.png: Company level Inspection templates may include a separate description.
    • Description (Optional): Include any relevant details about the inspection.
    • Attachments: Attach any relevant files to the templates by clicking Attach Files. 
      Note: If you try to create an inspection template without a name or with a name that already exists, there will be an error message details the reason. You can create an inspection with the same name as one in the Recycle Bin, but once you name it the same, you cannot restore a template in the Recycle Bin without first editing an inspection template to change the name.
  6. Select the desired Standard Response Phrasing from the following options:
     Notes
    • The Standard Response Phrasing cannot be edited on Company level inspection templates in the Project level Inspections tool.
    • The response phrasing you select will apply to ALL items in this template, including items in previous inspections created from this template.
    • Pass and Fail: Select this setting to enable team members to choose between the responses 'Pass' and 'Fail' when performing the inspection.
    • Safe and At Risk: Select this setting to enable team members to choose between the responses 'Safe' and 'At Risk' when performing the inspection.

  7. To edit existing sections and items on the template, hover your cursor over the field you want to edit and click on the pencil icon that appears.
    Note: Existing sections and items cannot be edited on Company level inspection templates in the Project level Inspections tool.
  8. To add new sections and items to your inspection template:
    • Click +Add Section to add a section to your inspection template. Fill in the field with the title of your section. When you are done, click out of the section or press ESC on your keyboard.
    • Click +Add Item to add an item under your current section.
      Note: You can drag and drop items in any order you wish after you make more than one.
    • Add Item Details: Hover your cursor below the item name and click the pencil icon that displays to add any additional details to the item.
      Note: This field only exists at the Project level.
  9. Select a response type for the inspection items. Choose from the following options:
    • Default: Users can respond to items by selecting Pass/Safe, Fail/At Risk or N/A.
    • Number: Users can respond to items in the form of any positive or negative number up to 15 characters.
    • Text: Users can respond to items with free-form text. There is no character limit to text responses.
    • Date: Users can respond to items by adding an appropriate date.
    • Multiple Response Set: Users can respond using options specific to the multiple response sets created for your company. See Create a Multiple Response Set for Inspections.
  10. After adding your first section, press TAB on your keyboard to save the current section and add a new one below it. Use the Enter key to save the current item you're on and add an item below it.
    Note: You can delete any section or item by clicking the x to the right of each section. You can reorder individual items within a section or you can reorder whole sections of your template by dragging your item/section by the icon with three horizontal lines. You will not be able to delete any fields that are created at the Company level.
  11. Click Update when you are finished updating your inspection template.

Step 4: Perform the Inspection

 Tip

To save time, use the TAB and ENTER keys on your keyboard to switch between sections and buttons.

  • When you press TAB, it will save your input and move to the next section or button.
  • When you press ENTER, it will activate the button you are on.
  1. Navigate to the project's Inspections tool.
  2. Click View next to the inspection you want to perform.
    Note: You will notice a number after the title of your inspection. This number denotes the number of the type of inspection you are performing. For example, if you have 7 inspections in Windows inspections and you wish to create and perform another windows inspection, you will see 'Windows #8' as the title of the inspection for organizational purposes.
  3. Scroll down to the first section. As you perform your inspection, mark the items or sections according to their accompanying response option.

    Note: Each inspection item has an activity feed below the item number, name and response that includes the following information: Response Changes, Attachments, Photos, Comments, and Observations. The activity feed only appears when at least one of these activities has been done for the inspection item.
  4. If you are performing an inspection that includes a section that is no longer applicable to the project, toggle the Mark section as N/A on to mark all inspection items in that section as N/A. Any previously marked inspection items in that section will be overridden with N/A and the section will be collapsed. Expand the section again by clicking the caret on the right or turn off the toggle by clicking it again. This gives the items in a section no status and the history will reflect the status changes. 
  5. When you mark an item as Fail or At Risk,  you can add a comment that explains your response. You can also attach any related documents or photos, as necessary.
    Note: Any changes you make to this page will be automatically saved.
  6. As you perform the inspection, the percentages at the top of the page will provide a break down of your responses.

Step 5: Close the Inspection

Once the inspection has been performed, the final step is to close the inspection.

  1. Navigate to the project's Inspections tool.
  2. Click View next to the inspection you want to close. 
  3. Click Close.
