Edit a Workforce Assignment
Objective
To edit a workforce assignment in Workforce Planning.
Background
Workforce assignments allow you to manage your workforce by assigning resources to projects. Workforce assignments can also be used for forecasting and planning future work. You can edit these assignments at any time.
Things to Consider
- Required User Permissions:
- To create a workforce assignment, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning.
OR
'Read Only' level permissions or higher on the Workforce Planning tool with the 'Create/Edit/Delete Assignments' granular permission within the Workforce Planning tool. See Create Permissions Templates for Workforce Planning. - To send assignment alerts to assignees when making assignments, 'Read Only' level permissions or higher on the Workforce Planning tool and 'Admin' level permissions within the Workforce Planning tool. Steps
You can edit assignments from three (3) places in Workforce Planning:
Edit a Workforce Assignment from the Assignments List
You can edit workforce assignment information from two (2) places on the Assignment List:
Edit Assignment Information Inline
You can edit information directly on the Assignments List by making inline edits.
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Assignments List.
- Right click OR double click the information in the row and column that you want to edit.
Note: Fields that are editable inline have an orange border. If there is a black border, you cannot edit the field inline, but can from the Assignment Details.
- Add or edit the information.
- Click Save.
Edit Assignment Information from Assignment Details
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Assignments List.
- Locate the workforce assignment you want to edit and click the gear
icon.
- Edit the assignment information:
Note: Fields marked with an asterisk (*) are required.- Person*. The assignee.
- Project*. Enter the project that the assignment is for.
- Category. Enter the category for the assignment.
- Subcategory. Enter the subcategory for the assignment.
- Needed Job Title. Enter the job title needed for the assignment.
- Status. Select the assignment status. See Configure Assignment and Request Statuses for Workforce Planning.
- Working Days. Enter the working days needed for the Assignment.
- Tags. Select the tags for the assignment. See Configure Tags for Workforce Planning.
- Start Day*. Enter the date the work assignment starts.
- Date. Enter the specific start date for the assignment.
OR - Project Start. If the assignment starts on the same date as the project, select the project start date.
- Date. Enter the specific start date for the assignment.
- End Day*. Enter the date the work assignment ends.
- Date. Enter the specific end date for the assignment.
OR - Weeks. Enter how many weeks the assignment is for.
OR - Project End. If the assignment ends on the same date as the project, select the project end date.
- Date. Enter the specific end date for the assignment.
- Allocation Type. Select whether the Allocation Type is in Hours of Percent. See What is a Workforce Allocation Type?
- Work Hours Start*. If you selected 'Hours', enter the time of day the assignment begins.
- Work Hours Start*. If you selected 'Hours', enter the time of day the assignment ends.
- Percent. If you selected 'Percent', enter the percent allocated to the assignment
- Overtime. Mark this checkbox to allow overtime for any time that goes over the allotted paid hours per shift. See Configure Costing in Workforce Planning.
- Optional: Custom Fields. Enter information for any assignment custom fields. See Configure Custom Fields for Workforce Planning
- Choose an option to save the assignment:
- Click Save.
- Select the caret
icon and select Save and Alert to save the assignment and send an assignment alert to the assignee. See What is an assignment alert in Workforce Planning?
- Optional: Update the 'Subject'.
- Optional: Update the 'Alert Content'
- Select when to send the alert:
- Send Now. Select this to send the alert immediately, then click Send.
Note: This will send the alert immediately based on the default or project assignment alert settings. - Schedule. Move the toggle to the ON position to schedule the alert to be sent in the future.
Note: You can edit or send the scheduled alert at a later time. See Manage Scheduled Assignment Alerts.- Select the Date and Time to send the alert.
- Click Save.
- Save Draft. Select this to save the alert as a draft. Then click Save.
Note: You can edit or send the draft at a later time. See Manage Draft Assignment Alerts.
- Send Now. Select this to send the alert immediately, then click Send.
Edit a Workforce Assignment from Assignments Boards
- Navigate to the Company level Workforce Planning tool.
- Click Assignments and select Boards.
- Locate the workforce assignment you want to edit and click the Gantt
icon.
- Click Working Day Splits.
- Click the colored bar for the day(s) you want to edit.
- Click Edit This Occurrence to edit specific days of the assignment.
OR
Click Edit Total Assignment to edit the entire assignment. - Edit the assignment information:

Edit a Workforce Assignment from the Assignments Gantt
- Select the Project Assignment Bar beside the person whose assignment you want to change.
- Click Configure.
- Select Working Day Splits and click Apply.
- Click the colored bar of the day(s) you want to edit.
- Select Edit This Occurrence to edit specific days of the assignment.

- Select Edit Total Assignment to edit the entire assignment.
