Export the Deficiency List Log

Objective

To export the Deficiency List log to a PDF or CSV file.

Background

For users who do not have access to the Deficiency List tool or prefer a printout of their open deficiency list items, you may want to provide them with a PDF that includes related photos and drawing snapshots. By providing your construction personnel with important visual information that helps them better understand the nature of the open item and what's required to properly resolve it, you'll be able to expedite the deficiency list process.

Things to Consider

  • Required User Permissions:
    • 'Read Only' or higher permissions on the project's Deficiency List tool.
  • Additional Information:
    • Use the filters (e.g. Assignee Company, Location, Type, etc.) to focus attention on specific items and limit total page length. For example, you may want to export contractor-specific PDFs.
    • 'PDF w/ photos & drawings' exports that have 300 or more deficiency list items are at a greater risk to fail or time out. We recommend limiting this type of deficiency list export to less than 300 items at one time. 

Steps

  1. Navigate to the project's Deficiency List tool.
  2. Click Export.
  3. Click one of the following options:
    • PDF: This option provides a concise summary of the deficiency list items in your log. The PDF will be downloaded to your local computer. 
    • PDF w/ descriptions: This option provides a concise summary of the deficiency list items in your log. The PDF will be downloaded to your local computer. 
    • PDF w/ photos & drawings: This option provides a detailed PDF of the deficiency list items including thumbnails of attached photos and snapshots of linked drawings. The PDF will be prepared and emailed to you as a PDF attachment. 
      Note: 'PDF w/ photos & drawings' exports that have 300 or more deficiency list items are at a greater risk to fail or time out. We recommend limiting this type of deficiency list export to less than 300 items at one time. 
    • CSV: This option provides a spreadsheet of the items. The CSV file will be downloaded to your local computer. 
  4. Each type of export includes the following fields for deficiency list items:
    • Number
    • Title
    • Type
    • Assignee Company
    • Assignee Name
    • Assignee Response
    • Deficiency Item Manager
    • Status
    • Dates
    • Location
    • Reference
    • Priority
