Change the Privacy Settings for a Commitment
Objective
To change the privacy settings for an individual commitment.
Background
If your Procore user account has the required user permissions to edit a commitment on the project, you can change its privacy settings. Depending on the settings you choose, you can remove the privacy settings, make it visible only to users with 'Admin' level permissions on the Commitments tool, or make it visible to specific users with non-Admin level permissions.
Things to Consider
- Required User Permissions:
- 'Admin' level permissions on the project's Commitments tool.
OR - 'Read Only' or 'Standard' level permissions on the project's Commitments tool with the 'Update Purchase Order Contract' and/or the 'Update Work Order Contract' granular permissions enabled on your permission template.
- 'Admin' level permissions on the project's Commitments tool.
- Additional Information:
- To learn how to configure the default privacy settings on the Commitments tool, see Configure the Default Privacy Settings for New Commitments.
- To learn how to manage user access permissions to Procore tools, see Permissions.
Prerequisites
Steps
- Navigate to the project's Commitments tool.
- Click the Number link in the table to open the desired commitment.
- In the General tab, click Edit.
- Scroll to the Private field in the commitment. Then choose from these options:
- Remove all privacy settings
To remove all privacy settings, clear the mark from the Make this Visible Only to Administrators and the Following Users check box. This action provides users with Read-Only level permissions or higher with the ability to view the commitment in the Commitments tool.
- Make this Visible Only to Administrators and the Following Users
Place a checkmark in this box to limit the visibility of the purchase order to users with 'Admin' on the project's Commitments tool and users specified in the 'Select a Person' drop-down list.Note
- To appear as a selection in the 'Select a Person' list, the user's Procore account must be added to the Project Directory. See Add a User Account to the Project Directory.
- The 'Make this Visible Only to Administrators and the Following Users' checkbox does NOT provide non-Admin users with the ability to view the Schedule of Values (SOV). To do that, you must also mark the 'Allow Selected Users to See SOV Items' check box.
- Allow selected users to see SOV items
Place a checkmark in this box to limit the visibility of the SOV items on the purchase order to users with 'Admin' on the project's Commitments tool and users specified in the 'Select a Person' drop-down list.
- Remove all privacy settings
- Click Save.
