Setting Up Your Procore Account

Here is a guide to setting up your Procore account, creating a new project, and adding students. To start the process of obtaining a donated Procore account for your school, please email us at procoreorg@procore.com. We will set up a 30 minute software demo with you, collect some information from you, and get you started on the short paperwork process. 

LOGGING IN FOR THE FIRST TIME

When your Procore account has been created, you'll receive an automated email from Procore with the subject line "Your Procore Account is Ready." Click on the link to login to the software online and set up a password. As the administrator for the account, you'll be able to add other students and instructors (any other instructors you invite can add their own students into their projects, as well). You'll also be able to create an unlimited number of projects and add project materials such as drawings, specifications, and more. 

CREATING A PROJECT FOR YOUR STUDENTS

Now, import your drawings into the new project. You can select any drawings you have as a PDF file, or use a pre-built set we've created called the "Vortex Business Center." Here are instructions on how to import your drawings.

Upload other materials, such as specifications (PDF file), a project schedule (variety of formats supported, including Microsoft Project, Powerproject, and P6 files), or even 3D Models from Navisworks.

ADDING STUDENTS TO PROCORE

Once you've built out your project, you can invite students to collaborate in your Procore account.

STEP 1: We recommend setting up a "project permission template" for your students in the software before you start adding them. 

Project permission templates are how you can limit access to information and functionality in Procore for other users. You'll have "admin" permissions by default (with full functionality). Here are the four different project permission templates for each tool in Procore: None - The tool won't show up at all in the user's account; Read Only - The data in the tool can be viewed, but not modified; Standard - Grants functionality to do most things in Procore, and Admin - Administrative user with full functionality and the ability to change the tool's administrative settings (as the account administrator, you will have this functionality by default). 

We recommend that you create a customized permission template for your students with your desired permission levels for each tool (many instructors choose to label this as their "student" permission template). We recommend assigning your students with "Standard" or "Admin" permissions for each tool, with the exception of the Directory tool (students should only have "Read Only" access to this tool so they can't lock others out of the account).  

To create this customized permission template, follow these instructions (scroll down on this page to the steps for creating a project specific permission template). You'll then be able to select this template when you add students to the account in Step 2, which will assign the correct project permission levels to each student's account when you add them. 

STEP 2: Next, you'll add your students to the project.

You can do this in two ways:

  1. Add Students Manually: Here are the steps you'll take to add students one by one (works fine for smaller class sizes). Under the project permission level drop down, you can select your customized student permission template.
     
  2. Bulk Add Students Using Procore Imports: Download the Procore Imports App (available on Windows 7 systems and higher) and follow these instructions (you'll download and fill out an Excel file with the students' names and other data, and use the Procore Imports App to upload the file back into Procore). If you are using an Apple, please reach out to procoreorg@procore.com and we can provide you with this template and add your students on the backend. 

Once the students have been uploaded into the account, you will need to invite them to login. Go into the project's Directory tool and click on the orange "Invite" button next to the student's name. This will send an automated email from Procore allowing them to set up a password and become active users in your Procore account.
